Course Withdrawal Policy & Procedures
Ending enrolment with CSM Academy International and the PEI-Student Contract.
Definition of Course Withdrawal
A Course Withdrawal refers to a student’s decision or circumstance resulting in the termination of their enrolment with CSM Academy International and the corresponding PEI-Student Contract.
Course withdrawal may occur under the following circumstances:
(a) Withdrawal Due to Non-Delivery of the Course
This includes situations where CSM Academy International:
- Is unable to commence the course on the scheduled Course Commencement Date;
- Is unable to complete the course by the scheduled Course Completion Date; or
- Terminates the course before its scheduled completion.
(b) Withdrawal for Other Reasons
This refers to a student’s voluntary decision to discontinue their studies for personal, academic, financial, medical, employment, or other reasons not related to the non-delivery of the course.
Approval Process
- All Course Withdrawal requests must be submitted in writing using the prescribed Course Withdrawal Request Form.
- Requests will only be processed upon receipt of the completed form together with the necessary supporting documents.
- CSM Academy International aims to process all withdrawal requests within four (4) weeks from the date a complete application is received.
- Students will be informed of the outcome in writing.
Refund Policy
Refunds arising from Course Withdrawal shall be governed by the terms of the PEI-Student Contract and CSM Academy International’s Refund Policy.
The amount refundable, if any, will depend on:
- The reason for the withdrawal;
- The effective date of withdrawal; and
- The refund schedule stipulated in the Student Contract.
Student’s Pass (International Students)
For international students, CSM Academy International will notify the Immigration & Checkpoints Authority (ICA) of the approved withdrawal where required.
The Student’s Pass may be cancelled in accordance with ICA requirements. Students are responsible for complying with all immigration regulations relating to their stay in Singapore.
Students Below 18 Years of Age
Students who are below 18 years of age must obtain written consent from a parent or legal guardian before a Course Withdrawal request can be processed.
Course Withdrawal Procedure
Submission of Withdrawal Request
Students wishing to withdraw from their course must submit a completed Course Withdrawal Request Form and any supporting documents relevant to the withdrawal request. Students below 18 years of age must also obtain the signature of a parent or legal guardian on the withdrawal form.
Withdrawal Counselling
Upon receiving the withdrawal request, CSM Academy International’s Student Services or Academic Team will arrange a withdrawal counselling session with the student. The purpose is to ensure the student fully understands the implications of withdrawing, including:
- Academic consequences
- Financial obligations
- Refund eligibility
- Funding implications (where applicable)
- Student’s Pass cancellation requirements (for international students)
- Available alternatives, where appropriate
Review & Approval
The withdrawal request will be reviewed by the relevant Student Services and Academic Department. Where necessary, additional supporting documents may be requested before a decision is made.
Upon approval, the student’s enrolment will be officially withdrawn, the PEI-Student Contract will be terminated, and the student will receive written confirmation of the withdrawal.
Notification to Relevant Authorities
Where applicable, CSM Academy International will notify the relevant authorities of the student’s withdrawal. For international students, this includes notifying the Immigration & Checkpoints Authority (ICA) and facilitating the cancellation of the Student’s Pass in accordance with prevailing regulations.
Refund Assessment
Following approval of the withdrawal, CSM Academy International will assess the student’s eligibility for a refund in accordance with the Refund Policy and the terms of the PEI-Student Contract. Where a refund is applicable, it will be processed within seven (7) working days from the date the withdrawal is approved.
Processing Timeline
CSM Academy International aims to complete the entire Course Withdrawal process within four (4) weeks from the receipt of the completed Withdrawal Request Form and all required supporting documents. Students are encouraged to submit their withdrawal request as early as possible to facilitate timely processing and minimise any potential financial or administrative implications.
